Quick answer

Set the RSVP deadline for a destination wedding eight to ten weeks before the date, and at least two weeks before your hotel room-block cut-off, so you know who is coming before unbooked rooms go back to the hotel; for a Cabo wedding on Saturday November 21, that means a reply-by date in late September. In The Private Wedding App, the full wedding planning platform, the reply-by date sits on the invitation, guests answer each event separately and give their flights in the same RSVP, and automatic reminder emails reach guests who have not answered in the week before the deadline and again a day or two before, for $19.99/month or $189 once. 3-day free trial.

For a wedding down the road, the RSVP deadline is a catering date: three or four weeks before, the caterer wants a number, done. For a wedding abroad it carries more weight, because three other deadlines hang on it: the hotel room block that releases unbooked rooms, the transfer company that needs arrival times, and the venue abroad that wants final numbers for every event of the weekend. Set it too late and you pay for rooms nobody booked or run out of them; set it too early and half the guests have not bought flights yet. This guide gives you the date, the reasoning, a worked Cabo example and wording you can copy.

Step 01

Why a destination wedding needs an earlier deadline

A hometown RSVP deadline sits three to four weeks before the wedding because one supplier, the caterer, needs one number. Our guide on when to send wedding invitations and set the RSVP deadline covers that case. A wedding abroad stacks several suppliers on the same answer, each with its own lead time.

The hotel needs to know whether to hold or release the rooms in your block. The transfer company needs arrival times to plan vans from the airport. The venue needs numbers for the welcome party, the wedding and the brunch, often separately, and often earlier than a local caterer because staff and produce are booked in advance. And the guests themselves need time between your deadline and the trip, because a yes means a flight.

So the deadline moves earlier, to eight to ten weeks before the date, and it gets tied to the one contract with a hard date in it: the room block.

Multi-event RSVP collects a yes or no for each event in the same reply, so every supplier's number comes from the same deadline.

02
Step 02

The room block decides the date

A room block holds rooms at a group rate until a cut-off date, after which unbooked rooms return to general sale. Around 30 days before arrival is a common cut-off in hotel wedding contracts, and busy resorts in peak season can ask for more. Some contracts add an attrition clause: if fewer rooms are booked than you guaranteed, you pay the difference.

Work backwards from that date. Your RSVP deadline should fall at least two weeks before the cut-off. That gap is what lets you see who said yes but has not booked, nudge them, and release or reassign rooms while the hotel still lets you. Without it, the cut-off arrives the same week as the last replies and you are guessing.

Many couples state both dates in the invitation in one line, because guests treat them as one decision: reply by this date, book your room by that date.

The reply-by date and the hotel's booking code live on the destination wedding invitation, and both can be edited after sending if the hotel extends the block.

Step 03

A worked example: a Cabo wedding on November 21

Take a wedding on Saturday November 21, 2026 in Cabo San Lucas, with a welcome dinner on Thursday 19 and a farewell brunch on Sunday 22. The hotel's room-block cut-off is 30 days before the group's Thursday arrival, Tuesday October 20.

Two weeks before the cut-off is October 6. Eight to ten weeks before the wedding is September 12 to September 26. The deadline that satisfies both is Saturday September 26: eight weeks before the wedding, three and a half weeks before the cut-off. That leaves time to chase late replies in early October and release unused rooms before October 20.

The table below is the whole timeline. Open the demo to see how the reply-by date and the RSVP per event look to a guest.

On guest flight details, flights collected with the RSVP by September 26 give the transfer company a full arrivals list a month ahead.

04
Step 04

One deadline or two?

Some couples use a two-stage approach: a soft question with the save the date (are you planning to come?) and the real RSVP with the invitation. The soft answer helps you size the room block before you sign it, and it is worth doing when the block requires a guarantee.

Keep only one real deadline, though. Two binding dates confuse guests, and the second one is the one they remember. The soft question is a planning signal, not an RSVP: nobody's meal or flight is attached to it.

Do not let the room booking stand in for the RSVP either. A booked room tells you nothing about the welcome party, the meal, the allergy or the plus-one, and guests who share a room with friends never appear in the hotel's list at all.

With RSVP by link or QR code, the same private link carries the save the date first and the full RSVP later, so guests never need a second address.

05
Step 05

RSVP deadline wording you can copy

Put the date on the invitation in words a guest cannot misread, and add the room-block date when it matters. Keep it to one or two lines; the explanation belongs on the travel page.

If part of the family reads Spanish, write their version natively. In Mexico the formal invitation register uses "ustedes" and "favor de confirmar", which reads naturally to grandparents and aunts.

On a bilingual invitation each guest picks English or Spanish on opening, and the reply-by line appears in the language they chose.

FriendlyWe need your answer by September 26 so we can plan transfers and dinnersNecesitamos tu respuesta antes del 26 de septiembre para organizar traslados y cenas
06
Step 06

Reminders, late replies and the guests who never answer

Every destination wedding has guests who meant to reply. The polite way to reach them is a reminder before the deadline, not a message after it. Send one in the week before the deadline, and one a day or two before, to guests who have not answered, never to guests who have.

In The Private Wedding App that happens on its own once you switch it on: guests on your list with an email address who have not replied get at most two reminder emails, one between seven and three days before the reply-by date and one a day or two before it, each with their own RSVP link and a one-click way to stop the reminders. Guests without an email, often family abroad, get nothing automatic; for them, the WhatsApp button on their row in the guest list opens a message from your own phone with the invitation link already typed.

After the deadline, the RSVP form stays open until you close it, so a late yes still lands in the same list. The reply-by line disappears from the invitation once the date has passed, which spares the late guest an awkward red date.

Switch on WhatsApp sending for the family abroad and reminder emails for everyone else, and read the live counts per event as they arrive.

07
Step 07

What to do with the answers

Once the deadline passes, three lists matter: who is coming to each event, who lands when, and who said yes without booking a room. The first goes to the venue and caterer, the second to the transfer company, the third to you, two weeks before the room-block cut-off.

If those lists come from one RSVP, they agree with each other. If they come from a spreadsheet, a group chat and the hotel's report, they will not.

Set your reply-by date, switch on flights and the RSVP per event, and start planning your destination wedding: The Private Wedding App is $19.99 a month or $189 once for the whole planner, invitation, guest list, seating chart and budget included.

  • RSVP deadline 8 to 10 weeks before the wedding

Frequently asked questions

When should the RSVP deadline be for a destination wedding?

Eight to ten weeks before the wedding, and at least two weeks before your hotel room-block cut-off. That is earlier than the three to four weeks of a hometown wedding because the hotel, the transfer company and the venue abroad all work from the same answers, and guests need time between replying and travelling.

When should guests RSVP by for a destination wedding in Cabo?

For a Cabo wedding on Saturday November 21 with a room-block cut-off on October 20, a reply-by date of Saturday September 26 works: eight weeks before the wedding and three and a half weeks before the cut-off, which leaves time to chase late replies and release unused rooms.

Does booking a hotel room count as an RSVP?

It should not. A booked room tells you nothing about which events the guest will attend, their meal, allergies or plus-one, and guests sharing a room with friends never appear in the hotel's list. Keep the RSVP as the one place answers are collected.

How do I remind guests to RSVP for a destination wedding?

Before the deadline, and only to those who have not answered. In The Private Wedding App, reminder emails go automatically to guests with an email address who have not replied: one between seven and three days before the reply-by date and one a day or two before it. For guests without an email, the WhatsApp button in the guest list opens a message from your own phone with their invitation link.

Should I send the RSVP with the save the date for a destination wedding?

Not a binding one. A soft question with the save the date (are you planning to come?) helps you size the room block, but keep one real RSVP deadline with the invitation about four months before, when the schedule and travel details are final.

How do I word the RSVP deadline on a destination wedding invitation?

One line, with the room-block date when it matters: "Please reply by September 26 and book your room by October 20 to keep the group rate." In Mexican Spanish: "Por favor confirmen antes del 26 de septiembre y reserven su habitación antes del 20 de octubre para conservar la tarifa de grupo."
