Create one invite group per set of guests (Day guests, Evening only, Rehearsal dinner), tick which events each group is invited to, and every group gets its own link that shows only its events. On The Private Wedding App, the full wedding planner with invitation, RSVP, guest list, seating chart and budget, you then send that link from your guest list: Send by SMS texts every guest their own group link in one go (UK and European numbers; a one-time pack of 500 texts is £49 or €49), Email the invitation emails everyone their own link after a preview, and the WhatsApp or Telegram button on each guest sends their group link from your own phone for free. Pay $189 once for lifetime access, or pick the $19.99/month plan (£159 or £17.99 in the UK). 3-day free trial.
Most weddings are really several invitations. In the UK, day guests come to the ceremony, the wedding breakfast and the party, while evening guests arrive at 7pm for the reception. In the US, the rehearsal dinner is for the wedding party and close family, the welcome party is for everyone who travelled, and the wedding itself sits in the middle. Send one link to everyone and your evening guests read the ceremony times, your colleagues find the rehearsal dinner, and someone turns up at the church who was never meant to. This guide shows how to give each group of guests its own invitation link, how to send that link by text message, email, WhatsApp or Telegram, and how to see, guest by guest, who received it and who has answered.
Why one link for everyone goes wrong
A single invitation link is fine when every guest is invited to everything. The moment you have two lists, it starts working against you. Evening guests see the 1pm ceremony and the four-course wedding breakfast and wonder why they were not asked. Work friends see the rehearsal dinner and assume they forgot to reply. The RSVP form asks everybody about the welcome party, so your headcount for it is wrong before it starts.
The fix is not a second invitation built from scratch. It is one invitation with several events in it, and one link per group of guests that decides which of those events the guest sees and answers for. The cover, your story, the venue map and the dress code stay the same for everyone; the schedule and the RSVP questions follow the group.
If you are still deciding how to split the day, the day and evening guests guide and RSVP for multiple events go through the common set-ups.
Step 1: add your events (the switch is off by default)
Groups only exist when the invitation knows about more than one event. In the builder, open the RSVP Settings tab and turn on “This wedding has multiple events”. It is off by default, which is why couples often cannot find the groups card at first. Then add each event with its name, date, time and venue: Ceremony, Wedding breakfast, Evening reception, or Rehearsal dinner, Welcome party, Wedding.
From then on, guests answer each event separately, and the Guests page counts each event on its own: 82 attending the ceremony, 140 at the evening reception, 24 at the rehearsal dinner. That is the number your venue and caterer actually need.
Everything an event can carry (its own dress code, its own artwork, its own time) is on the multi-event RSVP page.
Step 2: create one invite group per guest list
Go to the Guests page. Once multiple events are on, a “Groups & links” card appears. Press “+ Add group”, name it (Day guests, Evening only, Rehearsal dinner) and tick the events under “Invited to these events”. A new group is invited to every event until you untick some. Each group card has a “Copy link”: that is the group's own invitation link, and a guest who opens it only sees and answers for the ticked events. The group cards save by themselves, and you can rename a group with the pencil next to its name without breaking a link you already sent.
A group can go further than events: you can hide schedule moments or info sections from it, and give it its own venue, date or line on the cover. Useful when evening guests should see the reception venue and 7pm on the very first screen.
Then put each guest in a group. Every row on your guest list has a group menu that moves the whole party at once. If you import your list, add a Group column next to the names and guests land in their group straight away. A guest who RSVPs through a group link joins that group by themselves. Guests left with no group get the plain link, which shows every event, so give everyone a group before you send.
How guests, parties and plus-ones are organised on the list is on the guest list page.
- RSVP Settings tab: “This wedding has multiple events” on, every event added
- Guests page, “Groups & links”: one group per guest list, events ticked
- Every guest has a group (group menu on the row, or a Group column in the import)
- Open each group's link yourself in a private window and check what it shows
Send by text message: one send, every guest their own link
Text is the channel that reaches the guests who never open WhatsApp: grandparents, older aunts and uncles, the neighbour you promised to invite. The “Send by SMS” card on the Guests page texts every guest their own invitation link in one go, and when a guest is in a group, the link in their text is their group's link.
Under “Send to”, pick “All guests”, one invite group, or “No group”. Sending group by group lets you write a different message for each: “The evening starts at 7pm, here is everything you need” for evening guests, a longer one for day guests. Write your message once; your names open the text automatically (“Sophie & James: …”) and the sender guests see is WeddingApp. Before anything leaves, the card shows exactly what guests receive and how many messages the send uses. Guests already texted are skipped unless you tick “Also guests I already texted”, and two guests sharing a phone number get one text.
One message is one text of up to 160 characters, link included; a longer text counts as two or three messages per guest, and the card tells you. It is a one-time message pack for your wedding: 500 messages for £49 / €49 / $39, or 250 for £25 / €25 / $19, with the currency following where most of your guests' numbers are. Texts the provider refuses are not charged. For a big list the texts can go out over a few hours, by themselves, between 9am and 9pm.
Where it works today: guests with numbers in the UK, Ireland, France, Germany, Italy, the Netherlands, Belgium, Spain, Portugal, Switzerland, Austria, Luxembourg, Denmark, Sweden, Norway, Finland and Poland. US and Canadian numbers are not open for text sending yet, and neither are the UAE and the Gulf, Australia, Mexico or India: the card counts those guests as “not open for SMS yet”. If most of your guests are in the US, use email and WhatsApp below; they cover everyone.
The message pack, the countries and the character count are on the text wedding invitations page.
Send by email: everyone at once, each with their own link
For guests whose email address is on their row, the “Email the invitation” button next to Import list sends every main guest their own invitation link in one go: their group's link when they are in a group, so evening guests get the evening invitation and the rehearsal dinner group gets theirs, from the same button. Plus-ones are never emailed separately, and two guests sharing an address get one email.
You first see how many guests will receive it and a preview of the exact email, then you press Send. The email comes from your names “via The Private Wedding App”, and when a guest hits reply, it lands in your own inbox. Nobody gets it twice unless you tick “Send again to guests who already received it”, and guests who asked to stop emails are skipped. This is the channel that works everywhere, including for guests in the US and Canada.
Afterwards, each guest who was emailed shows “Emailed” and the date under their name on the guest list, and the CSV export has an “Invitation emailed” column. Guests without an address are simply not counted: add one with the pencil on their row, or text or WhatsApp them instead.
What guests see when they open that email is on the digital wedding invitation page.
Send by WhatsApp or Telegram: one tap per guest, free
Every main guest row has a WhatsApp button. It opens WhatsApp on that guest's number with your message and their link already typed, and since September 2026 that link is their group's link when the guest is assigned to a group. You press send from your own WhatsApp, so it costs nothing and comes from a number they know. Save numbers in full international format (+44 7…, +1 212…) so the button opens the right chat in one tap.
Write the text that goes before the link in the “WhatsApp invitation message” card at the top of the Guests page and press “Save message”: “Hi, it's Sophie and James, here is our wedding invitation” makes sure nobody takes the link for spam. If part of your family lives on Telegram, set “Send invitations with” to Telegram or Both, and a Telegram button appears next to each guest with the same group link and message.
For a long list, press “Start sending”. Sending mode lists every party with a progress bar; tapping a guest's button ticks them off, unsent guests stay at the top, and your progress is saved so you can stop at guest 60 and pick up tomorrow. What the app does not do is send WhatsApp messages in bulk: WhatsApp does not allow any app to mass-send from a personal number. If you would rather send one message per group, create a WhatsApp broadcast list per invite group and paste that group's link; a broadcast only reaches people who have your number saved, so use sending mode for the rest.
The WhatsApp button, the message card and sending mode are on the WhatsApp invitations page, and how to send wedding invitations on WhatsApp goes through the wording.
See who received it and who replied
Sending is half the job; the other half is knowing where you stand. On the guest list, a small phone icon after a name means a number is saved for that guest, and “Emailed” with a date under the row means the email invitation went out to them. The SMS card counts the guests already texted and skips them on the next send, and sending mode keeps your WhatsApp and Telegram progress guest by guest.
For replies, the filters above the list combine. Pick a status (All, Attending, Declined, Pending, each with its count), then an event chip when RSVP per event is on, then a group chip: “All groups”, each group with its count, and “No group”. Evening only plus Pending is exactly the list of evening guests who have not answered. The “Latest replies” sort puts the most recent answers on top, each row showing “Replied” with the date and time.
Chasing the quiet ones is then one action per channel. In the SMS card, pick the group and tick “Only guests who have not replied”: that is your reminder text. For email, turn on “Remind guests who haven't replied by email” in the RSVP Settings tab (off by default, it needs a reply-by date): pending guests with an email get at most two reminders before that date, with their own group link. For WhatsApp, filter Pending and tap through the buttons again.
How replies, meals and allergies land on each row is on the guest list page.
Which channel for which guest
You do not have to pick one. All four channels open the same invitation and every reply comes back to the same guest list, so most couples mix them: email for the guests whose address they have, WhatsApp for friends, text for the older relatives, and the printable QR card for the ones who want paper. The QR card can be printed once per group, so even the paper version opens the right events.
Set it up in an evening
Create your wedding, turn on multiple events, add your groups and send yourself each group's link: you will see in a few minutes exactly what your evening guests, your family and your rehearsal dinner guests receive. Pay $189 once for lifetime access: your invitation stays online and your planner stays open, with no time limit and nothing to renew. Or pick the $19.99/month plan (£159 or £17.99 in the UK). Both are on the pricing page. 3-day free trial.

Try the full planner →How do I send different wedding invitations to day and evening guests?
Use one invitation with an event per part of the day and one invite group per guest list. On The Private Wedding App, turn on “This wedding has multiple events” in the RSVP Settings tab (it is off by default), add the ceremony, the wedding breakfast and the evening reception, then create a Day guests group and an Evening only group on the Guests page. Each group has its own link, and evening guests only see and answer for the evening.
Can I text my wedding invitation to all my guests at once?
Yes, for guests with UK and European numbers. The Send by SMS card on the Guests page texts every guest their own invitation link in one go, by group if you like, with your names at the start of the text. It uses a one-time message pack: 500 messages for £49 or €49. US and Canadian numbers are not open yet: use Email the invitation and the WhatsApp button for those guests.
Can I email the invitation to all my guests at once?
Yes. Email the invitation on the Guests page sends every main guest with an email address their own link, their group's link when they are in a group. You see a preview and the number of recipients before you press Send, and each emailed guest shows “Emailed” with the date on the guest list.
Can I send WhatsApp invitations in bulk?
No app can: WhatsApp does not allow mass sending from a personal number. The WhatsApp button on each guest opens their chat with the right group link typed, and sending mode keeps track of who you have sent to. For saved contacts, a WhatsApp broadcast list per group with that group's link also works.
How do I know who received the invitation?
On the guest list, “Emailed” and a date under a guest's row means the email went out, the SMS card counts and skips guests already texted, and sending mode ticks off WhatsApp and Telegram sends. Combine the Pending filter with a group chip to see who in that group has not replied.
What does a guest with no group see?
The plain link, which shows every event. Put every guest in a group before you send, either with the group menu on their row or with a Group column when you import the list. A guest who RSVPs through a group link joins that group automatically.
Can I invite only some guests to the rehearsal dinner?
Yes. Add the rehearsal dinner as an event, create a group for the wedding party and close family with it ticked, and leave it unticked for every other group. Guests outside that group never see the rehearsal dinner on their invitation.
